Your role as a help desk volunteer is essential to the AccessU experience. Whether you’re answering a quick question or navigating a guest to the right expert, you ensure our community gets exactly what they need to succeed.
Help Desk Volunteer Duties
Troubleshooting Registration Issues
- When assisting particpants who do not have a name badge: locate a Knowbility staff member who can verify their registration status and if needed, assist them in getting registered for the conference.
- Staff will ask them:
- Could it be under a different name?
- Were they registered as a group / company / organization?
- If so, find the contact person in registration and how many tickets were purchased.
- Are they replacing someone who registered or did someone who registered transfer their ticket to them?
- If so, please ask for any sort of verification of this replacement. This can be an email confirming ticket transfer from the purchaser or the person transferring the ticket.
Assigning QR Codes - Attendees without a Badge
We will have printed badges with QR Codes on them on hand.
In order to make sure attendees without a badge can be captured as part of our new "Room Host — Session Attendee Check-In Process" staff and select volunteers will need to manually assign the QR code to them.
Please make sure that this step has been completed before giving the attendee one of these badges to write their name on.
Campus Directional Assistance
- For guests seeking directional assistance, please connect them with an onsite directional help volunteer.
- If the help desk is fully covered and time allows, you may choose to walk them to their destination.
Parking and Parking Permits
- Help attendees with St. Edward's Parking Pass vehicle registration. Refer them to the "Parking at St. Edward's University" section of the Hotels, Transportation and Parking page for the QR code to register their vehicle.
- Attendees will need their license plate number to register their vehicle. It's a virtual parking pass, and it is good for the duration of AccessU. They don't need to put anything on their dashboard after they register.
Providing Additional Support
The pages below will provide answers to questions about conference sessions, daily schedules, breakfast and lunch location & times, the ice creak truck, keynotes, evening events or other questions that may be asked.
