As a Registration Volunteer, you help set the tone for the whole event. Thank you for being here!

Registration Desk Locations & Hours

              

Monday, May 11th

Located in the lobby of Trustee Hall.

              

Tuesday, May 12th-Thursday, May 14th

Located in the lobby Ragsdale Center.

Let’s get this conference started! Here is your quick guide to getting everyone through the door and ready to learn.

Check-In & Badges

Welcome & Identify: Greet participants with a smile and ask for their name and participant role.

Volunteer Check-In

  • Direct volunteers to the Volunteer Table located near the Help Desk to check-in, pick-up badges and verify volunteer role/assignments.

Attendees, Instructors, and Staff Check-In

  • Locate their badge by searching in the stacks organized by participant role and sorted by last name.
    • Once you have located their badge, hand them the badge, a lanyard, a conference program and other available conference materials.
      • Note: Braille materials will be avaialable behind the registraion desk for those who requested them in advance.
  • Not finding their Badge? Refer to Troubleshooting Missing Badges section below.

Troubleshooting Missing Badges

  • Verify the spelling of their name and look one more time.
  • Ask them: "Could you be registered under a different name?" and look once more.
    • (Example: Matthew can be "Matt" or vice versa)
Unable to locate their badge?

Direct them to the help desk where a Knowbility staff member will assist them with verifying their registration and/or registering them for the conference and printing them a badge.

Providing Guidance & Connections

Most check-ins are quick, but you are also the "bridge" to the rest of the event. Whether you’re answering a quick question or making an introduction, you help our participants feel right at home.

Campus Directional Assistance

  • For guests needing campus directional assistance, please connect them with an onsite directional help volunteer.
    • If the registration desk is fully covered and time allows, you may choose to walk them to their destination.

Parking and Parking Permits

  • Direct parking/vehicle registration questions the help desk volunteer who will assist them getting their vehicle registered for AccessU parking.
    • Alternatively, if there is no line at the registration desk, you assist them in getting their parking permit.
      • Refer them to the "Parking at St. Edward's University" section of the Hotels, Transportation and Parking page for the QR code to register their vehicle.
        • Attendees will need their license plate number to register their vehicle. It's a virtual parking pass, and it is good for the duration of AccessU. They don't need to put anything on their dashboard after they register.
